General Ledger Overview
Chart of Accounts.
A standard chart of accounts and reports are included. These may
be modified or extended to suit any particular reporting requirements
you may have.
Sub Totaling within Levels
Each of the Levels has its own sub-chart of accounts which is driven
by actual links in the accounts.
This allows food for example to be broken down into the various
types of food with the automatic generation of a value for all food
via the account links.
Data Flow Through The Chart
Any posting to an account is automatically added to the corresponding
account at the higher levels in the ledger.
Retention of Information
Monthly balances and transactions are held for as long as may be
desired. Transactions may also be forward posted into the next year.
Budgets
Two Budgets are kept for each year including the next year. This
allows budgets to be revised without the loss of the original value
and the next year budget to be planned in advance.
Data Input.
Bank Reconciliation.
The bank reconciliation process is on line and tracks all
entries to the ledger that affect the Bank Account(s).
Transactions are always presented ‘whole’ in the bank
reconciliation screen even though they may have been dissected to
multiple accounts when posted.
Entries in the bank reconciliation screen may be marked from the
bank statement so that an accurate list of un-presented cheques
is maintained. The ‘true’ state of the bank account
is always displayed.
Creditors
Introduction
Creditors tracks the transactions made with the creditors
of your organisation.
Creditors may be integrated with General Ledger, Payroll (superannuation
liabilities, tax payments other payments to third parties), the
Residents ledger (liabilities incurred on behalf of residents) and
asset register (record asset details as it is purchased).
Integration
If Creditors is integrated with General Ledger the invoice
is automatically allocated to one or more expense accounts and the
unpaid creditors account.
Invoices for goods supplied to residents (such as chemists, hairdressing
and or newspapers), may be dissected directly to residents accounts
from the Creditors invoice entry screen.
Invoices which have been previously entered may be edited with
an automatic update of the appropriate General Ledger accounts.
The Payment Process
Automatic Payments
An automatic proposed payment listing may be produced at
any time. All unpaid invoices with a payment date earlier than the
processing/reporting date, and not marked as held, will be included
in the list. Individual invoices may then be excluded from the list
by the operator.
A combined Remittance/Payment Advice and Cheque may be printed
for each creditor if required. Alternatively cheques may be manually
produced.
Immediate Payments
Ad hoc payments may be made as part of the Invoice Entry process.
The operator concludes the invoice entry process with a special
function key and may then choose to print an online cheque.
EFT Payments
Where corresponding facilities exist, your creditors may be paid
by Electronic Funds Transfer processes with payment advice sent
by fax.
Reversals
Payments that have been made in error may be reversed with
the invoice re-established for payment and full flow on to the general
ledger.
Purchasing
Purchase Request Generation
Semi automatic generation of purchase requests from standard
purchase lists. The operator reviews the items on the list and edits
the quantities required as necessary.
Semi automatic generation of purchase requests from imprest inventory
lists. Operator enters current stock level and a purchase request
is generated to bring stock to the optimum level
Manual generation of purchase requests.
Purchase Requests may be generated from a Maintenance Request
Purchase Requests may be linked to a Location.
Purchase Order Generation
The BAS
Introduction
All of the BAS information generated by the various modules
(ResCare, CashCare, CrediCare and PayCare) and processes it to produce
BAS reports according to your nominated reporting periods.
Integration
LegiCare and updates both the Bank Account and GST Clearing
account as part of the process of sending the completed BAS to the
ATO.

Introduction
AssetCare the Asset Management system provides a means
of storing details of an organisation’s assets and managing
the accounting for their depreciation them.
Assets may be flexibly organised under a variety independent of
groupings
