Quality indicator (QI) reporting for Quarter 1 2026-27 (July to September) opened on 1 October and is due by 21 October. A rule change from 1 October also means fewer people can complete resident surveys on a resident’s behalf.
Reporting basics
Registered providers report QI data in the Government Provider Management System (GPMS) Registered Provider Portal. The Department’s tips are to:
• use the file upload template
• use the paste values function, to keep the format when pasting information
• make comments meaningful, concise and de-identified, without restating information already in the data.
All historical QI Program data is now available in the QI reporting dashboards in the same portal.
Who can complete resident surveys
The Aged Care Rules have been updated. From 1 October, only an authorised proxy can complete the Consumer Experience and Quality of Life surveys on behalf of a resident. An authorised proxy must be the resident’s:
• legal guardian
• court or tribunal-appointed decision-maker
• power of attorney, or a person granted similar power.
Informal carers, family members and residential aged care workers can no longer complete the surveys unless they are an authorised proxy. The Quality Indicator Manual Part A has been updated to reflect the change.
Practical steps
1. Confirm who the authorised proxy is for each resident who cannot complete a survey themselves, and where that is recorded.
2. Let staff and families know that only authorised proxies can complete surveys on a resident’s behalf.
3. Plan your data collection and upload early, so there is time to check your comments before 21 October.
4. If you hit technical problems with the portal, contact the My Aged Care service provider and assessor helpline.
If you would like to talk through how your records support quality reporting, the Care Systems team is happy to help.
